It is time to capture some items in your Inbox and start clarifying, organizing and processing. The objectives that can be done in a single action belong to the &ldquo;Next Actions&rdquo; Todoist project, and remember that they need a label so you can see them when you want to Engage.</p><p>Todoist let you put several labels on a task but I don&rsquo;t recommend you to do that at least at the beginning. If you have actions that can be done on a computer or a mobile phone, don&rsquo;t put those two labels, maybe create another one called &ldquo;Digital&rdquo;. It is easier at first and removes complexity. Also, don&rsquo;t create many contexts. Start with just a few, experiment, and then keep adding and deleting when you are in need. But you will find that GTD Contexts are not a thing that you change much.</p><p>I hope this post helps all of you starting with GTD. I will try to write from what comes to my mind, but I also will have a list of blog ideas just in case. So this week I&rsquo;m writing this for two purposes:</p><ol><li>Letting know my vast amount of readers that they will have access to my incredible wisdom every two weeks (hehe).</li><li>Using this blog as my own Ulysses pact.</li></ol><p>What the heck is a Ulysses pact? Well, the story is that Ulysses wanted to hear the sirens sing, but he knew that would make him want to jump into the water, so he put wax on their men&rsquo;s ears and asked them to tie him to the mast. So when he heard the sirens, he would not be able to do much. He also gave them orders to not deviate from the course of the ship and attack him if something went wrong. If you want to know more about the Ulysses pact, this Wikipedia <a href=https://en.wikipedia.org/wiki/Ulysses_pact>page</a> is great. I would have loved to read this New Yorker <a href=https://www.newyorker.com/business/currency/ulysses-strategy-self-control>article</a> about it, but the paywall didn&rsquo;t let me.</p><p>The Ulysses pact is indeed more about self-control than productivity, as a way to stop bad habits. But there are two great things that we can learn from Ulysses here for our productivity journey:</p><ol><li>Changing the environment</li><li>Accountability</li></ol><p>These two things are always mentioned when trying to be productive. &ldquo;Turn your notifications off so there are no distractions&rdquo;, &ldquo;Let&rsquo;s set up a weekly meeting to share our progress&rdquo;, &ldquo;Close the browser tabs that are not related to your task at hand&rdquo;, and more. The strength of the Ulysses pact is that he covered those two areas at the same time.</p><p>If you want to do something that you are procrastinating a lot, why don&rsquo;t you try this? Set up the environment to make it easier for you to do it (in my case, that task in Todoist and the list of possible topics work like that), and then make it public: tell your manager, your mentor, your partner, your millions of readers (like I did here &#x1f609;). It&rsquo;s not that hard.</p><p>Returning to my blog. Every other Friday! But I did use it not long ago when I found it very hard to focus because of a lack of motivation. I also used it in the university for studying, which I recommend because work meetings are not an issue. So you can be more hardcore on the way to use the methodology.</p><p>In my case, I decided to make some rules and be more flexible. Here are the changes I made:</p><ul><li>No notifications that are not related to work. And for the work ones, I decided on a one-to-one basis if they could wait or if I had to take care immediately. And this is very important for people whose principal source of work is email, calls, or alerts on a screen.</li><li>If I finish a task in the middle of a Pomodoro, I go to my task manager and pick the next one. I wouldn&rsquo;t say I like sticking with a task for 20 minutes if I have already finished it.</li><li>If someone outside of my work calls me in the middle of a pomodoro, I answer and pause the timer. If the call gets too long, I start the cycle from zero. If it is not that long, I unpause the timer.</li><li>Meetings are part of my work, so I keep the Pomodoro timer going when I join one. If the timer finishes, I start the next Pomodoro immediately and accumulate the breaks. That means longer breaks, but I spent more time focused.</li></ul><p>And that&rsquo;s it! The most important message from this post is not how I use the Pomodoro Technique but to be flexible. All these productivity techniques are great, and try to do it correctly when you start using one. But if it is not working for you, or you think tweaking it will make it work better, go ahead! So I will try to tell that story from the start and all the things I have found since then.</p><p>Everything started one afternoon when I had a lot of things to do for the university, and had no idea where to start. I just had a simple To-do list in my Reminders app on my iPhone (which was not as good as it is now). So I started to look for a way to streamline my &ldquo;system&rdquo; because I was getting stressed with everything I had to work on, and my calendar and list were not enough.</p><p>I found <a href=https://gettingthingsdone.com/>GTD</a> (Getting Things Done), so I bought the book and fell in love with the methodology. I started using it for a while but soon I got to the first limitations of it: it was not a methodology created for university students, but mostly for managers working for big companies, or at least those are their go-to clients. That doesn&rsquo;t mean it doesn&rsquo;t work (not a manager yet and still works for me), but some tweaks need to be done for it to work for university students.</p><p>So finding myself again in a position where I found the need to improve again my system, I bumped into an article in Cal Newport&rsquo;s blog called: GTDCS: Getting Things Done for College Students, or something similar. The post is no longer there, but he wrote an <a href=https://calnewport.com/monday-master-class-getting-things-done-for-college-studentsmade-easy/>updated</a> version of it. The difference is mainly that in GTD you do a Weekly Review of your Projects and the Waiting For lists (stuff you are waiting for others to end), but for Uni students, that is simply not enough because you can miss stuff in the week. So he wrote that when you have a new project to deliver, you create it in the list of Projects and get a plan or just the next action, but when the deadline is arriving, you decide what you need to do next and put it on your calendar. Always scheduling some time for <a href=https://gettingthingsdone.com/2020/06/the-gtd-approach-to-linking-next-actions-and-projects/>Next Actions</a> as well.</p><p>GTD and GTDCS were mostly enough for going through college. I also played a bit with the <a href=https://todoist.com/productivity-methods/pomodoro-technique>Pomodoro Technique</a> for when I needed a lot of focus on a task, but that was mostly it. When I finished the university, I stopped using GTDCS and kept with GTD. But I found it very hard to pick the next thing to do from my lists when I was in several <a href=https://facilethings.com/blog/en/gtd-contexts>contexts</a> at the same time, or even in the same context, I was finding it very difficult to pick the next task.</p><p>So I developed a mix between GTD and <a href=https://personalmba.com/most-important-tasks/>MIT</a> (Most Important Task) methods. I added priorities to my tasks comparing them on a 1-to-1 basis until I got to the most important one and did a top three for every context in my GTD system. It worked for me for a while, but it was a lot of work to compare the tasks every time I finished one. Also, I decided that in my <a href=https://gettingthingsdone.com/wp-content/uploads/2014/10/Weekly_Review_Checklist.pdf>Weekly Review</a>, I was going to pick again the top three of every context. That was a lot.</p><p>I think the blog is getting too long (at least for me) to read in one sitting, and today is a Holiday in Spain, so I want to do some hiking or play some video games. I started to find more and more limitations in GTD. Mostly, at the moment when I had to decide on which task to work. I wanted some kind of algorithm to pick tasks, because I&rsquo;m a Computer Engineer, and a great procrastinator, so I trust more in algorithms than myself when picking the next task to work on.</p><p>I played with <a href=https://todoist.com/productivity-methods/time-blocking>Time Blocking</a> a bit but didn&rsquo;t quite like it. Filling my calendar with tasks was not helping me, and was giving me more stress when I was supposed to be doing something and I was doing another thing. So I found this <a href=https://medium.com/2time-labs/do-you-need-new-gtd-contexts-8398c77b1c2f>article</a> by Francis Wade (he interviewed me about my system once, btw. Very nice guy) about &ldquo;Temporal Tagging&rdquo;. This means that <a href=https://facilethings.com/blog/en/gtd-contexts>GTD contexts</a> are not only the place or tool needed to do something, but also things like the energy you have, the time you need, the mentality, how many people, and more. So I did a thing that for GTD is a sin&mldr; adding more than one context to each task. I started only with the amount of time that a task would take me, so it would be easier for me to select a task based on how much time I had before the next meeting. Then I added different classes for a task, for example: tasks that will help me improve myself, chores, work tasks, etc.</p><p>So now every time I had to create a task, I had to assign it three different labels (or contexts): the physical one (computer, home), how much time it takes (15m, 30m, 1h), and the class (personal, work, chore). I had some rules, like only one label per kind of context, so a task couldn&rsquo;t be for work and a chore, but it could be for work and take 15 minutes. Also, my biggest timeframe was two hours, if more, I had to make that task smaller. Time-based tags were great for picking up tasks when I had 15 minutes before a meeting or things like that. But I found myself procrastinating long tasks a lot because: &ldquo;I don&rsquo;t have time for that now, I only have half an hour and I need two&rdquo;, or: &ldquo;This talk should take me two hours, but this one of 30 minutes looks more important (lie!)&rdquo;. So I removed the time-based tags, but not the class ones.</p><p>So now let&rsquo;s go to my latest setup (until today because I made a very big change that I may talk about in a few weeks, if it works). Only two kinds of contexts: physical and class. In the physical contexts, I have the following: Desk (things I have to do on my computer), Errands, Home, Calls, Mobile (things I can do on a phone), and Switch (for video games that I&rsquo;m playing on my Nintendo Switch). In the class contexts, I had: Work1, Work2, Work3 (I have three kinds of work tasks for different parts of my job), Finance (for finance-related tasks), Career (for tasks that can help my career), Personal Time (for tasks that are not related to my career but help my growth in any other way), Chores (tasks I have to do), and Free Time (leisure tasks).</p><p>Also, I added four different levels of priority per task. Those were: Urgent, Important, Necessary, and Optional. I don&rsquo;t think they need much of an explanation, but &ldquo;Important&rdquo; doesn&rsquo;t mean it is important for the job or it is urgent, but if it&rsquo;s going to make me grow. And &ldquo;Necessary&rdquo; means that I have to do it, but it is not something I consider important for me or at the time of my life I am. And &ldquo;Urgent&rdquo; doesn&rsquo;t mean that they are more important than &ldquo;Important&rdquo;, it&rsquo;s just that the deadline is around the corner. A lot of tasks jump from &ldquo;Necessary&rdquo; to &ldquo;Urgent&rdquo; without going through &ldquo;Important&rdquo;. So when I have to work, I try to get rid of the urgent stuff first and then spend most of the time on the important stuff. If I have time, I do some necessary, and optional tasks.</p><p>To know when to work on what, I did some <a href=https://todoist.com/productivity-methods/time-blocking#day-theming>Day Theming</a>. So depending on the day of the week, I worked on Career or Personal or Chores tasks, etc. And that has been working for me for a while. But I still feel from time to time that anxiety of &ldquo;am I working on the most important thing for me right now?&rdquo;. So today I made a big change. Let&rsquo;s see if it works and maybe I write another post about it in the future.</p><p>I know I used the <a href=https://todoist.com/productivity-methods/eat-the-frog>Eat The Frog</a> method for a while as well, but don&rsquo;t remember exactly how and when. Either way, I wanted to give it a shoutout because it is very interesting. In summary, it means: do the task you have to do that you don&rsquo;t want to do first thing in the morning.</p><p>So that&rsquo;s it for the story of my productivity until today, 22nd of December of 2023. +<a class=heading-link href=#apple-reminders><i class="fa fa-link" aria-hidden=true></i></a></h2><p>I already mentioned in <a href=https://kubernesto.github.io/posts/productivity-story-part-1/>part 1</a> of this series that my first tool was the Reminders app on my iPhone. When I used it, it was not as good and complete as it is now. With all the things they have added in the latest iOS updates, I think it is enough app to add a <a href=https://gettingthingsdone.com/>GTD</a> system to it. But when I used it, it was only to have a list of the things I had to do and put some reminders. Actually, I still used it for reminders and for taking pills until not so long ago. Now for the pills I use the Medications feature in Apple Health and for reminders, I use Todoist.</p><h2 id=wunderlist-now-microsoft-to-do>Wunderlist (now Microsoft To Do)

I loved that app. But Microsoft bought it, made the team create <a href=https://to-do.office.com/tasks/>Microsoft To Do</a>, and closed Wunderlist. I&rsquo;ll never forgive them for that&mldr;</p><h2 id=habitica>Habitica
+<a class=heading-link href=#habitica><i class="fa fa-link" aria-hidden=true></i></a></h2><p>If you like RPGs and want to be more productive. Think no more. You have to use <a href=https://habitica.com/static/home>Habitica</a>. It is a magnificent application that consists of four columns: Habits, Dailies, To-Do&rsquo;s, and Rewards.</p><p>Every time you do something correctly, like completing a Daily, a To-Do, or doing a positive Habit, you earn coins that you can later spend in rewards for yourself (like watching an episode of a TV Show or playing video games, you name it). It is great if you don&rsquo;t want to feel bad about your leisure time.</p><p>And when you do something badly, like a negative habit or not finishing a daily, it takes HP (Health/Hit Points) from you and if you die, you lose a level and all your coins.</p><p>I think this application is great if you want to <a href=https://en.wikipedia.org/wiki/Gamification>gamify</a> your life. It also has quests for teams and a lot of community features. If you like games and you are struggling to feel productive. This might be the tool you were looking for.</p><p>I stopped using it because I needed something more powerful. And I was kinda burned out of having to pay (in virtual coins) every time I wanted to play a game 😅.</p><h2 id=todoist>Todoist
+<a class=heading-link href=#todoist><i class="fa fa-link" aria-hidden=true></i></a></h2><p><a href=https://todoist.com/>Todoist</a> is my favorite to-do app by far. Of the ones I have used, I think this is the one that is the most powerful and complete. You can create projects, labels, and filters (and ask for help from AI to do this). It has a lot of extensions, for example: creating a project and asking AI to help you set up the tasks based on the name of the project. Or a habit tracker for the tasks you want to make a habit.</p><p>Their <a href=https://todoist.com/inspiration>blog</a> is one of the best I have read about productivity. If you have been reading this series, you will notice I took most of the links from there. Also, they are always adding new features to the application and have a great community and environment around it.</p><p>They have a free version and charge 36€ (as of today: January, 5th of 2024) for the premium. Which I pay because I use that app a lot. But the free version is also great. I wrote a <a href=https://kubernesto.github.io/posts/gtd-todoist/>post</a> about how to set up GTD in Todoist using only the free features.</p><h1 id=note-taking-apps>Note-taking apps

It was great because it let me write using the virtual keyboard of the iPad, and also write handwritten notes when I needed to. For example: when I had to write formulas in my Math classes. Also, it synced the recording of the class with what I was writing at the moment, so when I was studying, I could check what the professor was saying when I wrote something in particular. That feature was NEAT!</p><p>I haven&rsquo;t used it in years because I don&rsquo;t take notes on my iPad anymore. So I don&rsquo;t know their current status. But I remember it fondly.</p><h2 id=evernote>Evernote

I can check my tasks from my iPhone because I have it synced, but I prefer to add all the tasks to my work calendar. Be careful of marking as private the personal ones. I mostly use it for meetings and appointments. I don&rsquo;t add tasks in there.</p><h2 id=time-blocking>Time blocking

I know Todoist lets you play with that, but some things are better on paper. Also, Cal sells his own <a href=https://www.timeblockplanner.com/>Time-Block Planner</a> as well. It is very powerful with lots of different options to track habits by day, and week. And it even syncs with Apple Health. So you can set up a habit like: &ldquo;Run 20km per week&rdquo;, and it should sync it. Habitica is also great for tracking habits, but not as powerful. I don&rsquo;t like Todoist for that. But if you want something simpler, Todoist should be enough.</p><h2 id=running>Running
